Teacher Training Terms and Conditions

Last updated:

Student cancellations: Course fees and deposits are non-refundable.

The optional 3,000 THB booking flexibility arrangement permits one course date change, subject to availability and the agreed notice conditions.

1. Your booking and these terms

These terms apply to teacher training and related services booked with Kidsangsan Language School, trading as Essential TEFL Bangkok. They explain the requirements for attending and completing your course, payment arrangements, changes to bookings and the support available to you.

Your booking confirmation identifies your course, qualification, dates, agreed price and any additional services. Please check these details and tell us promptly if anything is incorrect. Keep a copy of your confirmation and the terms provided when you book.

The terms supplied when you book apply to your booking. Later website updates do not retrospectively change an agreed price or remove agreed benefits. Any specific arrangements approved in writing, including a payment plan, take precedence over the corresponding general terms. Nothing in these terms limits rights that cannot lawfully be excluded.

2. Admission and English proficiency

Applicants must be at least 22 years old. Admission to the course and eligibility for a teaching job or internship are separate matters. Additional entry conditions for a particular programme will be explained before you commit to that programme.

Our minimum English requirement is CEFR B2, commonly described as upper-intermediate. Students must be able to follow training delivered in English, understand course materials and instructions, participate in discussions, communicate clearly during teaching practice and produce clear written lesson plans and assignments in their own words.

We may ask for an interview, a short written task or evidence of English proficiency before confirming admission. Meeting the minimum entry level does not guarantee a pass. All students must meet the assessment requirements of their chosen course, including the additional written work required for TQUK Level 5.

If you are unsure whether your English is suitable, contact admissions before booking or paying. The course develops teaching skills; it does not include a general English improvement programme.

3. Learning and access support

Please tell us before booking, or as soon as a need becomes known, if you require support with learning, access or assessment. We will discuss your needs privately, consider reasonable adjustments and explain what support can be provided.

Adjustments must preserve the skills and assessment standards required for the qualification. Some arrangements for TQUK Level 5 may require approval from the awarding organisation. A disability or health condition will be considered individually in relation to the activities involved and the support available.

If difficulties arise during training, speak to your trainer promptly. We will discuss the concern, available support and any further work or revised arrangements. Any decision affecting your continuation or assessment will be explained, together with the relevant review or appeal route.

4. Standard and Level 5 qualifications

Your booking confirmation states whether you are enrolled on the Standard 120-hour TEFL course or the TQUK Level 5 Certificate in Teaching English as a Foreign Language (RQF). These courses have different assessment and certification requirements.

Students must complete the required training, teaching practice and assessments for their enrolled course. TQUK Level 5 also requires successful completion of the applicable written assignments and qualification criteria. Further assessment, revisions or quality assurance may continue after the four weeks of classroom training.

Attendance at a graduation event or completion of classroom training does not by itself confirm that all qualification requirements have been met. A certificate is awarded only after successful completion of the relevant requirements.

5. Attendance and course timetable

Attend all scheduled training, school visits and teaching practice punctually. Tell your trainer as soon as possible if illness or another difficulty prevents attendance. Absence or lateness does not automatically qualify you for a fee reduction or refund, subject to your applicable rights.

Missed training or assessed teaching practice may prevent course completion. We will explain what remains outstanding and whether suitable make-up arrangements are available. Additional arrangements must be agreed in writing, and any charges must be disclosed and accepted before you proceed.

Your course timetable will identify teaching days, public holidays and any scheduled closures. Required training and assessment must still be completed. We will explain timetable adjustments needed to accommodate holidays or school availability. Scheduled holidays do not reduce the agreed course fee.

6. Assessment deadlines and further work

We will provide assessment requirements, submission instructions and deadlines in writing. Any completion window, limit on attempts or additional assessment charge must be made clear before it applies. Students must act on reasonable assessor feedback and complete the amendments or further evidence requested.

Contact your assessor before a deadline if you expect difficulty meeting it, or as soon as possible in an emergency. An extension or revised submission date is effective only when agreed in writing. Where our systems prevent submission, contact us promptly so that a reasonable alternative or deadline adjustment can be arranged.

If work does not meet the required standard, we will explain why and what options remain under the applicable assessment rules. Enrolment, payment or attendance does not guarantee a pass. Failure to meet the standard does not by itself entitle a student to a refund, without affecting any rights concerning the service provided.

7. Original work and academic integrity

Assessment work must be your own. Acknowledge sources and follow the instructions for each task. Do not submit copied work, work produced by another person or AI-generated answers as your own. Use translation, editing and AI tools only where the assessment instructions expressly permit them.

If we have concerns, we will review the evidence and give you an opportunity to explain your work. Depending on the findings, we may request clarification or resubmission, record an assessment as not meeting the standard, or end an enrolment for serious or repeated misconduct.

We will explain the decision in writing and how to appeal. Applicable TQUK procedures apply to Level 5 assessment. Any decision about fees following misconduct remains subject to rights that cannot lawfully be excluded.

8. Certificates and delivery

Standard certificates are issued after the relevant course requirements have been successfully completed. TQUK Level 5 certificates are normally expected within 6 to 8 weeks after all required training and assessment have been completed, subject to external quality assurance and processing. This is an estimate, not a guaranteed delivery date.

TQUK may review assessment evidence and require further work or corrections before authorising certification. We will explain any action you need to take. Do not assume that your Level 5 certificate will be available on the final day of classroom training.

Your booking information must identify the certificate format and any registration, printed-certificate or delivery costs included in the price. Mandatory charges will be disclosed before you book. Optional postage, replacement or correction charges will be confirmed before you accept them.

Check that your name and other registration details are accurate. Contact admissions promptly about an error, a missing certificate or delivery arrangements.

9. Upgrading to Level 5

Students enrolled on the Standard 120-hour course can ask to upgrade to TQUK Level 5 on the first day. Speak to your trainer when you arrive. We will confirm the upgrade fee, registration arrangements and additional assessment requirements before you agree and pay.

Previous Essential TEFL graduates may apply to upgrade their Standard certificate to the TQUK Level 5 qualification for 15,000 THB, subject to completing the additional assessment requirements. This is a separate route from upgrading at the start of a new course. Payment alone does not convert a Standard certificate into a Level 5 qualification.

10. Fees and payment arrangements

Fees are quoted in Thai Baht. The Standard 120-hour TEFL course costs 45,000 THB and the TQUK Level 5 course costs 50,000 THB. Both courses require a deposit of 20,000 THB. The paid internship programme costs 90,000 THB and requires a deposit of 45,000 THB. Your booking confirmation records the agreed price and included services.

Unless we approve a different arrangement in writing, the remaining balance is due by the start of the first day. Approved Study Now Pay Later students follow the deposit and instalment dates in their written agreement. Students must meet the applicable payment deadline before participating in training.

We confirm a place after accepting the application and receiving the required deposit or payment. Any outstanding suitability or programme conditions will be identified in writing. Visa support letters are not issued before the required payment has been received.

Use the payment methods advertised at the time of booking. Your bank or payment provider may charge transfer or currency-conversion fees. Any charge collected by us must be disclosed before payment. Where a refund is due, any proposed deduction must be lawful and explained; third-party costs do not automatically remove your right to the refund.

Any advertised offer applies only under its stated conditions. Offers cannot be combined or applied retrospectively unless agreed in writing. A later price change or withdrawal of an offer does not alter a confirmed booking at an agreed price.

11. Cancellation by the student

If you cancel, change your mind, fail to attend or leave the course early, course fees and deposits are non-refundable. Personal travel difficulties do not automatically create an additional contractual right to a refund.

Send cancellation requests to admissions@essentialtefl.com, including your name and course dates. This student-cancellation policy does not apply where Essential TEFL cancels the course or cannot provide the contracted service. Those circumstances are covered below.

12. Changing your course date or transferring a place

The optional booking flexibility arrangement costs 3,000 THB and must be purchased when you book. It permits one change to your course start date, subject to availability and the notice conditions disclosed at booking. Make the request in writing before your original start date. A revised date is confirmed only when we accept it in writing.

If you did not purchase booking flexibility, your booking is fixed unless we expressly agree otherwise in writing or applicable rights require another outcome. The flexibility option is separate from cancellation by Essential TEFL; a change caused by us does not use up your purchased date change.

You cannot automatically transfer your booking to another person. Contact admissions before making any arrangement. A transfer requires our written approval, an eligibility check for the replacement student and agreement on any disclosed charges.

13. Cancellation or significant changes by Essential TEFL

If we cancel your course, we will first offer a transfer to another available intake of the same course and qualification at the same agreed price, without an administration or date-change fee. All payments will carry forward. You do not need to have purchased booking flexibility to accept this offer.

If you prefer, we may agree course credit instead. The amount, permitted use and validity period will be confirmed in writing. Credit is optional and will not replace a refund to which you are entitled without your agreement.

If a refund is payable for an amount originally paid through PayPal, you will be deduct a payment-processing charge of 5% of the amount being refunded. No deduction applies to payments carried forward to another intake or retained as agreed course credit.

If the alternative intake is unsuitable and you do not accept credit, we will refund the course fees paid to us for the cancelled course, including the deposit and any booking flexibility fee. If training has already started and we cannot complete the agreed service, we will discuss suitable completion arrangements or refund the part not provided, without limiting any further rights you may have.

Reasonable changes to trainers, teaching practice schools or timetables may be necessary, but must preserve the agreed course and assessment requirements. A material change to your course, qualification, location or dates will be explained and discussed with you. We will not substitute a different qualification without your agreement.

Separate accommodation or other services booked through us will be reviewed according to their agreed terms and your applicable rights. Contact your insurer or travel provider about separately booked travel expenses. Nothing in this section excludes responsibility that cannot lawfully be excluded.

14. Events outside our control

If a natural disaster, public-health restriction, civil unrest or another event outside our reasonable control disrupts delivery, we will notify affected students and take reasonable steps to reduce the disruption. We will explain the proposed timetable, online course or other alternative arrangements.

If the agreed course cannot be provided, the cancellation and significant-change provisions above apply, together with any mandatory rights. An event outside our control does not automatically mean that all payments are forfeited.

15. Accommodation and insurance

Accommodation is a separate service unless your package expressly includes it. Accommodation bookings require two weeks of rent plus the booking fee, with the full accommodation balance due four weeks before arrival. The booking is not confirmed until the required full payment has been received.

A change requested by the student carries a 1,500 THB administration fee and is subject to availability. For a cancellation or reduction in the stay, at least two weeks of notice is required for a refund of unused nights. If less notice is given, the refund of unused nights is reduced by up to two weeks of accommodation fees. These provisions remain subject to applicable rights.

If a third-party provider has different conditions, we will disclose them before you book. Your confirmation will identify which accommodation terms apply. An accommodation deposit or booking fee must not be confused with the course deposit.

We strongly recommend suitable travel insurance covering medical expenses, cancellation and disruption, together with any activities you plan to undertake. Check the policy exclusions before travelling.

16. Visas and overseas qualification requirements

Students are responsible for holding the immigration permission required for their stay and activities. Confirm your visa status with admissions at least seven days before the course begins. Our team can provide general information, but visa and work-permit decisions are made by the relevant authorities.

Where required for lawful administration or reporting, we may request relevant passport and visa information. We will explain its purpose and handle it under our privacy arrangements. A course booking does not extend your permitted stay or itself authorise employment.

Before booking, check the requirements for your intended teaching destination. The Standard certificate and the TQUK Level 5 qualification have different recognition and document-processing routes. If you need legalisation, contact admissions about the Level 5 option before making plans.

Students considering China, Vietnam or another overseas destination should confirm the current qualification, degree, legalisation and employment requirements with the receiving employer and authorities. Holding Level 5 does not automatically secure a visa, teaching licence, job or higher salary.

17. Employment support and paid internships

Essential TEFL provides graduate employment support through its recruitment connections, including Essential Educational Staffing. Support may include CV preparation, interview guidance and introductions to schools. Ordinary course enrolment does not guarantee a particular job, salary, location or start date.

The standard placement eligibility criteria are native English speakers from the UK, USA, South Africa, Ireland, Australia, New Zealand or Canada, aged 23 to 50, holding a bachelor’s degree and able to provide a clean background check. Candidates must be able to carry out the duties of the role, considering reasonable adjustments and school requirements. These employment criteria are separate from course admission.

Placement depends on suitable vacancies, employer requirements, successful interviews and any required demonstration lesson. Non-native English-speaking graduates can receive CV and application support and may be introduced to suitable schools, but employment is not guaranteed. Final hiring decisions rest with the employer.

A paid internship or another package containing a specific placement commitment is governed by the additional written terms supplied before booking. These must identify eligibility, the placement commitment, included support, applicable timing and what happens if the promised placement cannot be arranged. General job-support wording does not override an express commitment in that agreement.

18. Conduct and school safeguarding

Treat trainers, staff, fellow students and school communities respectfully. Follow safety instructions and the professional dress and behaviour requirements given for school visits and teaching practice. Do not attend training under the influence of alcohol or drugs.

Do not photograph, record or publish images or personal information about children or school staff without the required permissions. Follow the host school’s safeguarding procedures and report any concern promptly to your trainer.

Serious or repeated harassment, unsafe behaviour, dishonesty or other misconduct may lead to suspension or dismissal. Where appropriate, we will explain the concern and allow a response or opportunity to correct the behaviour. Immediate protective action may be taken where safety requires it. Decisions will be explained in writing, including the review route and any effect on fees, subject to applicable rights.

19. Materials and online access

Course materials belong to Essential TEFL, the relevant rights holder or a licensor. Use them for your own learning and use classroom resources in your teaching where the accompanying permission allows it. Do not sell, publish, distribute full course materials or use them to run another training programme without permission.

Keep any student login confidential and do not share access. Tell us promptly if an account appears compromised or a technical problem prevents access or submission. We will investigate and discuss reasonable alternatives where our systems affect your course.

20. Personal information and reviews

We use relevant personal information to process bookings, deliver training, administer assessments, issue certificates and provide services you request. Necessary information may be shared with authorised assessors, quality assurance staff, TQUK in the UK, service providers and relevant placement schools. Our Privacy Policy explains the applicable handling arrangements.

We will explain the purpose of recordings required for teaching practice or assessment. Permission to use identifiable photographs or videos in marketing will be requested separately. Declining marketing permission does not affect admission, assessment or student support.

We may invite you to give feedback or leave a review. Reviews are voluntary. If you choose to publish a review on Google or another external service, that service’s terms and privacy policy also apply.

21. Complaints and assessment appeals

Send a complaint to admissions@essentialtefl.com, addressed to the Course Manager. Include your name, course dates, what happened and the outcome you are seeking. Raise concerns promptly so that we can investigate while the relevant information is available.

We will acknowledge the complaint, explain the next steps and give an expected response timeframe. If more time is required, we will explain why and keep you informed.

If you disagree with an assessment decision, ask your assessor or the Course Manager for the applicable appeals procedure and deadline. The review should be carried out by an appropriate person who was not responsible for the original decision.

For TQUK Level 5, further escalation may be available under the awarding organisation’s procedures after the relevant centre process. We will explain the route and any external fees before you proceed. This process does not remove any consumer or regulatory complaint route available to you.

22. Partners and group programmes

If you book through an authorised agent or travel partner, check who is taking payment and which services each party supplies. Any additional conditions must be disclosed before booking. Ask admissions if you are unsure about an agent’s authority or a promise made on our behalf.

Bespoke or closed-group programmes may have a separate written service agreement covering the programme, price, payment dates and cancellation arrangements. Those agreed provisions govern the relevant group booking, subject to rights that cannot lawfully be excluded.

24. Your rights and contact details

These terms do not exclude or restrict any liability, refund entitlement or other right that cannot lawfully be excluded or restricted. If a provision is unenforceable, the remaining provisions continue to apply to the extent permitted by law.

For bookings, support, complaints or questions about these terms, contact Kidsangsan Language School, trading as Essential TEFL Bangkok, at admissions@essentialtefl.com. Website: www.essentialtefl.com.

Terms and Conditions FAQs

What are the requirements to enrol in a TEFL course?

Applicants must be at least 22 years old and have a minimum English level of CEFR B2 (upper-intermediate). You must be able to follow training, participate in teaching practice and complete your own written work. We may request an interview, a written task or evidence of English proficiency. Contact admissions before booking to discuss suitability or learning support.

How do I pay for my TEFL course?

Use the payment methods advertised when you book. The remaining balance is due by the start of the first day unless a different arrangement has been approved in writing. Approved Study Now Pay Later students follow the deposit and instalment dates in their written agreement.

Can I get a refund if I cancel my TEFL course?

Course fees and deposits are non-refundable if you cancel, except where applicable law or your written booking agreement provides otherwise. The optional 3,000 THB booking flexibility arrangement allows one date change, subject to availability and the agreed notice conditions. Without it, the booking is fixed unless we agree otherwise in writing or applicable rights require another outcome.

Are there any discounts available for TEFL courses?

Any offer available when you book will have its own stated conditions. Offers cannot be combined or applied retrospectively unless agreed in writing. Your confirmed booking price will not change simply because a later offer or price is different.

What is the duration of the TEFL courses offered?

Both courses include four weeks of classroom training in Bangkok. The Standard course provides 120 hours of training. TQUK Level 5 has additional assessment requirements, and written work, revisions and certification may continue after classroom training ends. Please visit our course page for more details.

Do I need a visa to study TEFL in Bangkok?

You must hold the immigration permission required for your stay and activities. Check current requirements with the relevant Thai embassy or immigration authority before travelling. Admissions can provide general information, but a course booking does not guarantee visa approval or authorise employment. See our visa and work permit guide for further information.

Can I teach in Thailand with your TEFL certification?

Acceptance depends on the receiving school and the relevant authorities. Completing a course does not itself authorise employment. If you need certificate legalisation or intend to teach overseas, contact admissions about the TQUK Level 5 option and check the requirements for your destination before booking.

How soon before the course starts do I need to register?

We recommend registering at least two months in advance to secure your place and complete any pre-course requirements.

Are there any additional fees apart from the course fees?

Your booking information identifies the services, certificate format and any registration or delivery costs included in your price. Accommodation, meals and personal expenses are separate unless expressly included in your package. Mandatory charges must be disclosed before booking. Optional services and any further assessment charges must be explained and agreed before they apply.

What support does Essential TEFL offer after course completion?

Graduate support may include CV preparation, interview guidance and introductions to schools through our recruitment connections. Eligibility and employer requirements apply. Ordinary course enrolment does not guarantee a particular job, salary, location or start date. A separate written internship or placement commitment remains subject to its agreed terms. Find out more about job placement.

What happens if Essential TEFL cancels my course?

We will first offer a free transfer to another available intake of the same course and qualification at the same agreed price. Course credit may be agreed instead. If the alternative is unsuitable and you do not accept credit, we will refund the course fees paid to us for the cancelled course, including the deposit and any booking flexibility fee.

Can I upgrade from Standard to Level 5 on the first day?

Yes. Speak to your trainer on the first day. We will confirm the upgrade fee, registration arrangements and additional assessment requirements before you agree and pay. This is separate from the 15,000 THB upgrade route for previous graduates.

Can I earn affiliate commission on my own course booking?

No. Self-referrals are excluded, including use of another email address, another account or someone acting on your behalf. Arranged reciprocal referrals intended to generate commission on students’ own bookings are also excluded. Ineligible commission may be rejected or cancelled, repayment may be requested for payments made in error, and deliberate misuse may lead to account suspension or closure.

Where do I send a complaint?

Email admissions@essentialtefl.com, addressed to the Course Manager, with your name, course dates, the issue and the outcome you are seeking. We will acknowledge the complaint and explain the next steps and expected response timeframe. Contact your assessor or the Course Manager for assessment appeal procedures and deadlines.
